Trilobita (“we”, “us”, “our”) operates the trilobita.co.uk website and develops WordPress plugins including DocVault. This policy explains how we collect, use, and protect your information.
Information We Collect
On This Website
Contact Forms: When you submit a contact form, we collect your name, email address, and message content. This information is used solely to respond to your enquiry.
Purchases: When you purchase a Pro license, payment is processed by our payment provider (Freemius). We receive your name, email, and transaction details but do not store credit card information.
Analytics: We use Google Analytics to understand how visitors use our site. This service collects anonymised data including pages visited, time spent on site, browser type, device type, and approximate location derived from your IP address. IP anonymisation is enabled, meaning your full IP address is never stored by Google. Data is processed by Google LLC — see Google’s Privacy Policy. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.
DocVault Plugin (Free)
The free plugin stores the following data on your WordPress site:
- Uploader user ID – Stored as post meta to track who uploaded each document version
- Download logs – When download tracking is enabled, the plugin records the downloader’s IP address, user ID (if logged in), and timestamp in your site’s database
This data is stored on your own server, not transmitted to us. The plugin does not “phone home” or send any data to Trilobita.
DocVault Pro
The Pro plugin includes Freemius SDK for license management. This sends:
- Site URL (to validate your license)
- Plugin version (for update checks)
- Admin email (for license association)
You can opt out of non-essential data sharing during plugin activation. See Freemius Privacy Policy for details.

- Plugin data on your site – Retained until you uninstall the plugin (uninstall removes all plugin data)

- Erasure – Request deletion of your data

We will respond to requests within one month. For the plugin: DocVault integrates with WordPress privacy tools. Site administrators can export or erase user data via Tools → Export Personal Data and Tools → Erase Personal Data.
